Nov 9                                     4-H Meeting

 

The meeting was called to order by KC at 3:13. She led the Pledge of Allegiance and 4-H Pledge. The club joined Mikayla in singing the opening song and then Jem did the roll call. The minutes of the last meeting (Oct 7) were read and approved by KC; seconded by Callie. Mikayla reported the updated Treasurer’s report with the profits of the hayride; the club funds are $3,079.01.

Unfinished business: The first issue to discuss was the review of the Halloween hayride. Overall, everyone agreed that the hayride was a huge success. The scaring went real well, but it was agreed that we need more horror and less gore for next year. Also, a theme that fits the outdoors would be more appropriate for next year. We will need to secure the hayride more in future events due to the little disturbance with the kids jumping out during one of the rides. It was agreed that an adult should sit in the back of the wagon. KC also stressed the point that no food or drinks should be allowed on the ride.

The other committees gave their reports as well. Games were a big hit, but they needed more help to deal with the massive amount of little kids. The kids really loved the games and freeze dance was one of the favorites. The coloring contest was popular, but many of the kids missed the announcement of who won and wanted to know. Timing needs to be perfected and the end of the un-haunted hayride needs to be announced more clearly so people don’t miss out on contests and such. Caution tapes needs to be put up around the jumps and announcer’s booth next year because kids kept running around them. The raffle needs to be better advertised. Decorated baskets on display was an option discussed.

Online ticket sales were a big hit, but Ms. Brenda suggested a cut off time and date for buying them online. On site ticket sales went fine, but more change was needed. The people working on site ticket sales agreed that just two people are fine. Food was practically sold out and the food booth needs more hot dogs for next year. Also for next year, some chicken nuggets and meatless chili would be nice for those that do not eat beef, pork, or any meat at all. An issue to be resolved next hayride is how much free food volunteers should be allowed to eat and how we define how much who can have.
